Hours: Full Time, 35 hours / week, some over time required including evening or weekends
Experience Level: minimum 2 years of work experience in an office environment. Experience in marketing, communications and event planning is an asset.
Education: Post-Secondary Education in marketing and administration or relevant experience.

Reporting Accountability
The Marketing and Events Coordinator provides support to the Marketing Manager.
Duties and Responsibilities
Marketing Initiatives
- Digital content coordination (writing, proofing and updating) the firm's website and social media accounts (Twitter, LinkedIn, Google, Youtube, Instagram and others).
- Content marketing creation including graphics and firm news to social media.
- Coordinate with marketing and sponsorship partners.
- PowerPoint presentation updates and design for the firm.
- Coordinate reporting of Analytics and results for marketing initiatives.
- Prepare and record meeting minutes and agendas and send out follow up tasks to meeting attendees.
- Ability to manage multiple concurrent projects with competing deadlines and work under pressure.
- Autonomy, organization, and ability to manage priorities.
- Maintain and organize all marketing drives and folders.
- Appreciation of the high level of confidentiality of sensitive data and outstanding sense of moral integrity and ethics.
Events
- Assist the Marketing Manager with managing internal and external firm events (e.g. Lawyer/Client functions, Articling Student reception, tradeshows, business development, etc.). including coordination of set up, managing invitations, registrations, catering, bookings, etc.
- Assist with internal office events such as Call to the Bar Celebrations, Take Your Kids to Work Day, Administrative Assistant Day, etc.
- Compiling, delivering (internal and external), and monitoring and tracking inventory of the promotional products and materials and ordering replenishments as needed.
- Assist in the research projects focused on marketing the firm.
Administration
- Assist in the research projects focused on marketing the firm.
- Assist the Marketing Manager with coordinating and tracking, recording the firm's sponsorships including budgeting and cost analysis.
- Maintain the status report for marketing projects, meeting notes for Marketing meetings and providing regular updates and support to the Marketing Manager.
- Coordinate payment of marketing expenses
- invoices and/or reconciling credit card transactions by the department.
- Maintain firm events calendar, content calendar for marketing and calendar for the internal website and contribute to the daily TM Newsletter.
- Book air travel for lawyers.
- Organize ticket distribution to lawyers and staff giveaways.
- Administrative assistance as required for the Marketing Manager.
Other
- Compile
- deliver (internal and external), and monitor inventory of the promotional products and materials and ordering replenishments as needed.
- Other duties as required.
Supervision
The Marketing and Event Coordinator will report directly to the Marketing Manager.
Competencies:
- Must be client focused.
- Be able to work independently and is a self-starter to solve problems.
- Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals at all levels within and outside of the Firm.
- Excellent attention to detail and proofreading skills.
- Strong computer skills using MS Word, Excel, Outlook and PowerPoint.
- Understanding the usage and application of Social Media specifically Twitter, LinkedIn, Instagram, and supporting applications such as Canva, Photoshop, Illustrator and others would be an asset.
