Title: Director of Facilities and Events / Reports to: President, The Confluence Historic Site & Parkland

Hours: 37.5 / Location: Calgary

Position Scope/Summary:

The Confluence Historic Site & Parkland (formerly Fort Calgary) is many things to many people - a cultural centre, concert and festival venue, meeting place, movie theatre, art gallery, summer camp, classroom and more. We are seeking a dynamic and innovative Director of Facilities and Events to lead and support the events and venues team towards continued growth and oversee improvements and maintenance of the facilities and land at the 40-acre site.

Reporting to the President of The Confluence, the Director of Facilities and Events will oversee the events and venues team and housekeeping staff, liaise with our facilities management service company and work with various vendors to manage improvement projects for the structures and land at The Confluence.

The right person for this role will be a strategic thinker with a background in project management and facilities management and a passion for creating safe, meaningful and memorable events and program experiences for every visitor.

Specific Accountabilities:

Key Responsibility 1: Business Development

  • Leads business development and management of the rental space for special events, conferences, etc. with the express intent of earning revenue to support operations.
  • Budgeting and forecasting for both facilities and one for Events and Venues.
  • Leads and maintains relationships with preferred catering vendors and other partners as may be needed for events and other activities.
  • Create policies and procedures pertaining to events, venues and facilities.
  • Supports leadership team colleagues in the development of business plans, marketing plans and general operational planning.
  • Provides monthly reports to illustrate performance and alignment with the Strategic Plan.

Key Responsibility 2: Event Management

  • Works with Events and Venues team to coordinate use of facility for rentals, special events and programming.
  • Manages profitability for events.
  • Negotiates contracts for major events.
  • Creates staff schedules and hires event staff to ensure the events and venues team is operating efficiently and within available resources.
  • Oversees event bookings to ensure profitability and sustainability.
  • Works evenings, mornings and weekends, as needed, to support events.

Key Responsibility 3: Facility and Grounds Maintenance

  • Accountable for overall facility operation and presentation to ensure safety and image is upheld.
  • Responsible as the main point of contact for the property management vendor and tenants of the Deane House to resolve operational service needs quickly.
  • Meet with vendors, contractors and management as needed to review and provide support to resolve operational challenges, maintenance needs, and implement new initiatives.
  • Ensure general maintenance is maintained related to security, janitorial services, landscaping, snow removal, etc.
  • Manage and oversee work on any subtrades that visit The Confluence to complete work and ensure invoicing for work is correct.
  • Manage inspection and audit process for services delivered and report monthly.
  • Ensure that operational logs are maintained and that reports on all non-conformances and critical incidents related to the facility and operations are documented.
  • Manage facility contracts for utilities, internet and phone services.
  • Maintains all necessary maintenance logs and financial costs for upkeep of premises reporting to the president on a monthly basis.
  • Coordinate with AE Security, track reports of building alarms, address security issues as needed.
  • Coordinate with Calgary Parking Authority on the management and monitoring of parking.
  • Maintain and control inventory and records of all building keys and security codes.

Qualifications - Minimum and Preferred (Education, Certification, Degree, Concentration, Skills, Knowledge, etc.):

  • Degree or relevant post-secondary diploma and/or trade certification.
  • Minimum 7-10 years' experience responsible for facilities management, events and operations.
  • Knowledge of event management best practices.
  • Must possess outstanding oral, written and interpersonal communication skills.
  • Ability to develop and maintain strong professional relationships with internal and external community members and work effectively with all levels of employees is critical.
  • Highly effective project management, prioritization, multi-tasking, and time management skills to meet deadlines.
  • High level of critical and logical thinking, analysis, and reasoning to identify underlying principles, reasons, or facts.
  • Exhibit strong personal values, integrity and hands-on work habits.
  • Highly energetic with a strong work ethic, and ability to work independently.
  • Comfortable with managing multiple projects and multi-tasking.
  • Ability to create, interpret and implement company policies and procedures.
  • Strong computer skills and ability to work with Microsoft Office suite of business programs.
  • Personal vehicle required for work purposes; valid driver's license is required.
  • Must be able to work some evenings, mornings, and weekends as required and be on call as needed.
