Position: Administrative Assistant - Ontario Government
Location: Downtown Toronto - Hybrid - 3 days in office
Salary: $27 per hour
Job Type: 3-month contract
Do you want to work for the Ontario government and support senior leaders in a fast-paced, dynamic environment? We're looking for a detail-oriented and proactive Administrative Assistant to manage calendars, coordinate meetings, handle confidential information, and support important projects across teams. This role is hybrid and will require 3 days on site in downtown Toronto.
What You'll Be Doing:
- Manage and prioritize daily executive calendars, schedule appointments, and arrange meetings with internal and external stakeholders.
- Prepare, format, and edit a variety of confidential documents, including reports, memos, contracts, proposals, and presentations.
- Coordinate meeting logistics, prepare agendas, distribute materials, and capture meeting notes.
- Serve as the primary point of contact for the executive office, ensuring smooth communication and efficient information flow.
- Maintain organized filing systems, manage records, and provide historical reference as needed.
- Liaise with other executives and administrative assistants to support cross-functional projects.
- Conduct research and prepare summaries/reports using various internal and external resources.
- Monitor and approve executive office expenditures within signing authority and assist with budget preparation.
Skills & Qualifications Needed:
- Detail-oriented and proactive with strong organizational and multitasking skills.
- A confident communicator who excels at coordinating across multiple teams and stakeholders.
- Experienced in handling confidential information with integrity and professionalism.
- Comfortable working in a fast-paced environment and adapting to shifting priorities.
