We're hiring an Executive Assistant to the CEO & COO to act as a critical force in protecting time, sharpening focus, and enabling clarity at the highest level of the company. In this role, you'll serve as the first filter and point of contact-fielding requests, structuring calendars, answering and redirecting inquiries, and creating space for focused decision-making.

This role requires maturity, discretion, and operational confidence. You will help shape what reaches leadership desks, ensure strategic initiatives stay on track, and prevent unnecessary noise from entering the equation. You will work closely with both the CEO and COO, balancing daily support with long-term coordination, and ensuring that they are freed up to lead, decide, and grow.

Key Responsibilities:

  • Own calendar and schedule management for the CEO and COO, aligning time with top priorities and protecting space for strategic work
  • Filter and triage inbound communications-fielding inquiries, answering where appropriate, and escalating only what requires executive input
  • Act as the first line of response-directing team members, clients, and external partners to the right resources or channels
  • Track high-priority projects, meetings, and follow-through tasks, ensuring alignment and execution across departments
  • Prepare meeting agendas, capture decisions, and drive accountability on action items
  • Manage logistics and correspondence for meetings, events, presentations, and strategic briefings
  • Draft and edit internal documents, communications, and materials with clarity and professionalism
  • Coordinate hiring support, onboarding logistics, and stakeholder engagements as needed
  • Support both long-term planning and immediate daily operations through proactive communication and structure
  • Maintain confidentiality, discretion, and precision in all aspects of your work

Your Skills & Experience:

  • 3-5+ years supporting executive leadership in a fast-paced or high-growth environment
  • Proven ability to manage complex schedules, filter priorities, and handle sensitive communication
  • Exceptional judgment and interpersonal skill-you know when to solve, when to delegate, and when to escalate
  • Skilled in professional communication (written and verbal) with high attention to tone, timing, and context
  • Strong organizational and task management systems-comfortable with tools like GSuite, Slack, Notion, or CRMs
  • Experience navigating diverse team environments, cross-functional initiatives, and dynamic workloads
  • High discretion and integrity-able to manage confidential information with professionalism
  • Experience in consulting, creative firms, or strategy environments is an asset
