JOB SUMMARY AND KEY RESPONSIBILITIES

Since 1994, the professionals at AGORA OPUS3 have been offering a full range of services for organizing conventions, business meetings, events, and training, providing you with state-of-the-art tools.

Under the responsibility of the Project Director, the Coordinator must demonstrate integrity and responsibility, in addition to being able to maintain excellent relationships with clients and suppliers. The main tasks of the coordinator include:

  • Carrying out site research;
  • Participating in the development of event timelines and budgets;
  • Participating in negotiations with suppliers;
  • Managing sponsors and exhibitors;
  • Preparing detailed event schedules;
  • Planning and executing certain logistical tasks such as:
    • Managing digital platforms for virtual events;
    • Assigning and setting up spaces;
    • Audio-visual needs;
    • Menu selection;
    • Signage;
  • Coordinating the creative design which among other things includes the event's branding, presentations, and theme;
  • Participating in the development of the conference's social program, tourist visits and social events as requested by the client;
  • Managing VIPs' needs;
  • Coordinating the registration and accommodation process, managing communication, and logistics needs of speakers;
  • Designing surveys;
  • Traveling on site for events as needed;
  • Performing any other task as needed.

What we are looking for...

  • DEC or BAC in project management, tourism, administration, or communications;
  • Excellent command of French and English, both spoken and written (Bilingualism compulsory);
  • Experience of 1 to 3 years in conference and/or event management;
  • Be technologically adept, especially with MailChimp, Canva, SurveyMonkey;
  • Know how to plan and respect internal and external deadlines;
  • Be extremely organized and structured and be able to set priorities in work management;
  • Ability to manage several projects at once with tight deadlines;
  • Accuracy, rigor;
  • Autonomy and ability to work in a team;
  • Efficiency, creativity and integrity;
  • Highly developed customer service skills;
  • Availability outside normal working hours (evenings and weekends according to events);
  • Be willing to travel for events.
