As the Executive Assistant to the VP Marketing, you are responsible for significant aspects of executive support including managing schedules, key deliverables, coordinating events and preparing executive level communications and reports. You have a high degree of accuracy and velocity and thrive on a deadline. You have the ability to manage multiple critical projects as well as coordinating with multiple senior executives and external stakeholders. You believe in the power of being proactive, have outstanding time-management skills and a high degree of professionalism, judgement, and discretion.

WHAT YOU'LL DO

  • Responsible for providing production coordination and EA administrative support to the VP of Marketing, ensure efficient administrative operations by:
  • Assisting in supporting the VP Marketing with work schedules and calendars, including prioritizing incoming meeting requests. Scheduling meetings, conference calls, call for agenda items, coordinating handouts and recording minutes on an as requested basis.
  • Developing, preparing, and producing written correspondence, presentations, and reports, including Board reports.
  • Designing engaging story driven PowerPoint presentations.
  • Assisting Designers with finding, parsing and archiving photographs, artwork, logos, graphic icons and other creative assets.
  • Ensuring critical deadlines are met, acting a liaison with internal business units and external partners as required.
  • Establish priorities and coordinate administrative workflow to ensure critical deadlines are met.
  • Review manager expenses for accuracy and completeness.
  • Compile and distribute correspondence, reports, organizational charts and meeting minutes.
  • Day to day responsibilities include time management, proofreading.
  • Proofing all materials for accuracy, mandatory content and Brand correctness.
  • Provide expertise in formatting, proofreading, and editing various documentation.

WHAT YOU'VE DONE

  • You have a Certificate or Diploma in Business Administration, or a recognized Office Assistant Program or equivalent education and experience is preferred.
  • You're no newbie - you already have at least 5 years of experience in an Executive Assistant role.
  • You're an all-round superstar - superior computer skills with in-depth knowledge and experience with Microsoft Office Suite (Word, PowerPoint, Excel), Adobe Acrobat and MS Teams.
