As Communications and Community Engagement Coordinator, you will provide coordination and administrative support for the various initiatives of the Communications-Marketing team and the Foundation. You will play a key role in the coordination and logistical support of our events and communications campaigns. You will be an ally for individuals and companies wishing to support the Foundation by organizing third-party fundraising events, providing guidance, coordination and exceptional customer service. Finally, you will contribute to the development of various web, print and multimedia content.

RESPONSIBILITIES

Coordination, logistical and administrative support

  • Support the Advisor, Events and Community Engagement, in planning fundraising and stewardship events;
  • Coordinate all third-party fundraising with the Team Raiser platform;
  • Coordinate various aspects of event production and logistics such as: invitations, registrations, confirmation messages, payment tracking, etc;
  • Provide logistical support for events, including set-up, registration and tear-down;
  • Provide administrative support for the annual campaign;
  • Perform various administrative tasks such as data entry, processing contracts and invoices, follow-ups, etc;

Marketing & Communications

  • Support the Communications and Marketing Advisor in developing original content for social media, the website and events;
  • Contribute to the coordination of communication and promotional efforts with our partners and sponsors;
  • Take photos and videos at Foundation events;
  • Write social media posts;
  • Write invitations and other messages to promote Foundation activities;
  • Design newsletters and other email messages (Luminate);
  • Update content on the website (WordPress).

Customer Service

  • Provide support to individuals and companies wishing to organize a third-party fundraising event for the Foundation, either online or in person;
  • Ensure customer service and donation processing at the reception desk, including answering calls and e-mails, during periods when the administrative agent at the reception desk is replaced.
  • Provide exemplary customer service as required for events.

QUALIFICATIONS AND EXPERIENCE

  • CEGEP and/or university degree in a relevant field (Communications, Marketing, Event Management, etc.) or equivalent combination of education and experience;
  • Minimum 3 years’ experience in event coordination and production;
  • Knowledge of Photoshop, Canva or other graphic design/photo editing software (an asset);
  • Experience with a donor database or CRM (an asset);
  • Experience in philanthropy and healthcare (an asset).

  • Excellent organizational skills and attention to detail;
  • Collegial, collaborative and customer-oriented;
  • Excellent written and verbal communication skills, in French and English;
  • Good listening skills, professionalism and diplomacy;
  • Autonomy and ability to work with minimal supervision;
  • Creativity, curiosity and ability to work in a multi-project environment;
  • Proficient in the use of Microsoft 365 tools and various digital platforms, such as WordPress; Hootsuite, Meta for Business (Facebook, Instagram), ChatGPT, etc.

EMPLOYMENT CONDITIONS

  • Full-time, 35 hours/week, Monday to Friday
  • Available to work occasional evenings and weekends for events;
  • Hybrid work mode;
  • Three weeks’ vacation upon hiring;
  • Pension plan with employer contribution;
  • Group insurance;
  • The position reports to the Vice-President, Communications and Marketing;
  • Start date: as soon as possible.
