We are currently looking to add a temporary Administrative Assistant to our Fort McMurray, AB region.

Reports to: Supervisor Service Administration

Shift: 5 x 2; Mon

  • Fri, 8 hours per day

Location: Fort McMurray, Alberta

Relocation: This position does not offer relocation


Greet in a professional manner all visitors to the office and direct and/or instruct them as necessary. Ensure visitors are announced to the appropriate office staff and their wait time is kept to a minimum.

Provide visitor orientations for vendors and guests coming into the facility.

Accept and field all incoming telephone calls and re-direct where required, answer inquiries and take messages for all office staff as appropriate

Maintain security access on premises during normal working hours; enforcing use of the visitor logbook and ensuring all personnel within the office are authorized and accounted for

Maintain up to date internal telephone directories, including numbers for office staff cellular phones, extensions, etc. and distribute on a regular basis to all office staff members

Retrieve the mail on a daily basis and distribute it to the appropriate office staff members as necessary. Post and drop-off mail at end of each day

Responsible to ensure that all courier packages are gathered, addressed, and sent for delivery on a daily or as required basis. Responsible for the ordering of necessary courier packages

Responsible for the ordering/purchasing and control of all office stationary products, which includes creating purchase requisitions in SAP for overhead supplies and maintaining inventory of supplies.

Provide assistance to new hires with completing the new hire package, submitting the complete package to HR and also following up on any pending/additional paperwork.

Manage boardroom meetings in outlook.

Assisting in the sorting of documents and or company swag for distribution staff, photocopying, document handling or other tasks as directed from time to time as required by the Regional Manager.

Management of company condo units, ie. Lease renewals, tenant concerns, and any property management concerns.

Management of facility cleaning, ie. Coordinate facility cleanings through vendors and maintain inventory of cleaning and kitchen supplies.

Skills & Qualifications

Graduate from a recognized office administration program or an equivalent combination of education, training and experience

Proficiency in administrative services with 3 to 5 years of work experience as an administrative assistant and/or secretary

General experience in an office environment is required; with experience working in a project environment would be considered an asset

Safety oriented

Strong interpersonal skills and the ability to interact and communicate with other team members having a variety of backgrounds

Demonstrated competency in Microsoft Office Applications (Excel / Outlook)

SAP knowledge would be considered an asset

Must be able to act independently and take a proactive approach to tasks.

Strong communication and organizational skills.

Produce information that is accurate and well laid out, within a reasonable time period.

Be able to adapt and react to a fast paced ever changing environment
