Event Manager (Temporary - up to 1 year)
Business and Community Relations Department
Position Summary:
Under the supervision of the Senior Manager of Events, effectively plan and oversee events that include conferences, meetings, banquets, trade shows and exhibits at the Victoria Conference Centre in alignment with the Centre's annual sales and operational plans.
Major Accountabilities:
The Event Manager plan's and organizes the delivery of events, including:
- Finalizing logistical details;
- Meeting with event organizers to clarify client needs and resolve issues;
- Providing facility site inspections;
- Completing contract negotiations with event clients with the support of Senior Manager where applicable;
- Entering relevant and accurate information in the event management system;
- Ensuring staff and service providers are clear on all facility and event requirements through planning and during any events;
- Scheduling and coordinating service providers;
- Preparing final event invoicing and submitting to accounting.
The Event Manager also supervises the on-site delivery of services for events including:
- Conducting pre-event and operational meetings with clients, staff and service providers;
- Informing clients of facility regulations including fire and emergency procedures;
- Attending and monitoring events;
- Responding and resolving problems and miscommunications.
The Event Manager also provides assistance to Conference Centre managers and staff including:
- Collaborating on policies and procedures;
- Facility, housekeeping and security issues;
- Assisting with client services training.
The Event Manager represents the Conference Centre to clients, industry representatives and the public including:
- Responding to event planners and clients regarding needs and expectations and resolving issues;
- Liaising with service providers on equipment, food and beverage, décor and trade show management issues;
- Liaising with Destination Greater Victoria and hoteliers on room bookings, off-site programs, and post-event statistics.
Perform additional job-related duties as assigned.
Qualifications:
Diploma in Business Administration, Hospitality Management or another related field.
- 3 years of related experience; including events management or operations in a conference/meetings facility; or an equivalent combination of education and experience.
- Experience working Ungerboeck Systems International (USI) - Integrated Event Business Software, or Customer Relationship Management (CRM) system preferred.
- Certified Meeting Professional (CMP) designation preferred.
