We are a unique practice in the Canada marketplace that focuses on the development of insurance solutions targeted at large customer or membership bases of clients whose core business is not insurance (e.g. financial institutions, retailers, associations, hospitality providers). Such insurance solutions that we help to develop and/or enhance on behalf of our clients are positioned to be complementary to the core services or product offerings of these Affinity organizations and the associated strategies that they employ to achieve key objectives of customer/member engagement and business growth (amongst other objectives).

We are seeking a qualified administrative assistant that can support the day-to-day activities of an expanding team of approximately 12 individuals, inclusive of two executives. This includes regular day-to-day support services, as well as organizational support to the team and our clients. The administrative assistant may also be involved in various aspects of research and support in shaping client deliverables.

The Role

Provide day to day support to the Affinity team including but not limited to:

  • Assistance in client invoice generation, submission and payment and collections tracking and follow-ups
  • Assistance in development of presentations, reports and other client-facing materials, including proofreading, formatting, maintenance of brand standards and aligning reports to best practices
  • Support for our internal time tracking system, including generation of codes for new projects, account access management, personnel utilization rate calculations and profitability calculations
  • Assistance in completion of Request for Proposal requirements
  • Assistance in preparing proposals and presentations for prospective clients
  • Updating and maintaining internal CRM tracking tools for client activities (CRM and Dynamics 365)

  • Co-ordination of client and internal meetings, checking attendee availability, booking rooms and equipment, setting up food requirements, arranging video and telephone conference calls
  • Conducting research in support of various client and prospecting initiatives, including supporting our regular market surveys for various insurance lines
  • Assisting with administrative and logistic needs of the team in conjunction with local Office Services
  • Provide assistance to senior leaders in relation to work-related travel arrangements and conference attendance
  • Assist in enhancing team filing systems and monitoring team's adherence to Willis Towers Watson's ?Professional Excellence' standards

    Desirable Candidate Qualifications

    • Bilingual, fluent and comfortable in operating in English and French, both verbal and written
