Job Description
DESCRIPTION:
This position requires a high degree of professionalism and customer service, complemented by strong attention to detail and communication capabilities in dealing with internal and external customers.
The successful candidate must understand and emulate Brookfield's Commitment to Outstanding Service by providing this high level of service to all internal and external clients, over the phone and in person.
As an essential member of the regional Marketing & Events team, you will work collaboratively to support regional initiatives including regional and corporate events, regional marketing campaigns and strategies, and other projects as required.
RESPONSIBILITIES:
Key responsibilities include but are not limited to:
Work collaboratively with the Managers and larger team to execute corporate events, regional marketing campaigns, and strategies.
Proactively contribute and assist in research, planning, and execution of regional marketing campaigns and events.
Contribute to and maintain the regional event calendar
Assist in the design/creation and production of marketing materials, both printed and digital.
Manage the implementation of all events at Fifth Avenue Place and other buildings as requested.
Connect with annual event holders to identify event dates, discuss event details, and prepare paperwork
Communicate and coordinate with various departments to ensure Brookfield's level of excellence is provided to all event hosts and to ensure effective team participation in event set-up, execution, and strike down.
Create event binders and/or folders for each function
Manage and update event budgets.
Create and Complete event paperwork (includes PAUA, Authorization Permits, signage, etc.) and distribute as necessary
Recruit volunteers and oversee volunteer orientation sessions for various events.
Update and maintain the Captivate and Cineplex screens and the lobby directories with current information.
Assist in the selection of promotional items for tenant and building distribution and coordinate volunteers to implement the distribution
Source, hire and manage all components of various events (entertainment, décor, catering, etc.)
Develop and maintain a database of suppliers/entertainers.
Create and distribute the Brookfield Weekly newsletter
Track invoicing and payment of invoices to suppliers/entertainers (working within budget constraints).
Utilize and update procedures for various events
Assess all media/photography/film requests for Fifth Avenue Place and assist with implementation where applicable
Co-chair weekly Marketing Meetings and take meeting minutes
Take photos of each event and log into the group file
Follow up with each event host to obtain feedback and update the event statistics file
Oversee the monthly booking and coordinate the utilization of several display cases within Fifth Avenue Place
Proofread and edit all documentation, including tenant and other department submissions
Create an informative article after each corporate event and post it on Brookfield's intranet
Provide reception coverage as required
Other assistance where required
SERVICE / PERSONAL SKILLS:
The successful candidate must be flexible to work some evenings, weekends, and holidays as they relate to the rollout of promotions and special events.

EXPERIENCE & TECHNICAL SKILLS:
Minimum three (3) to (5) years related work experience in a large commercial building with experience working in an administrative role in marketing, promotions, public relations, and/or media
Experience in event planning involving coordination and implementation
Exposure to Real Estate/Property Management/Retail field as an asset
Intermediate level in MS Word, Excel, Outlook, and PowerPoint
Experience with Desktop Publishing and Illustrator
Proficiency in Adobe Software is an asset
Passion and aptitude for Graphic design creation preferably with In-Design.
EDUCATION / DESIGNATIONS / LICENSES:
High School Diploma or equivalent
Certificate in Marketing and/or Events Management or equivalent experience
