Position Purpose:

Overall duty of this position is to work closely with key stakeholders (management and operational management staff) as the main point of contact overseeing onboarding/offboarding activities including processes and procedures and updating all required system and stakeholders of onboarding and offboarding statuses. The HR Coordinator provides support as a technical resource overseeing internal systems and works closely with the regions to improve Applus Canada's business infrastructure.

Due to the nature of this position there may be on-call and overtime requirements.

Duties and Responsibilities :
  • Manage applicant tracking system for all operational positions for Canada, including but not limited to opening up requisitions, submitting candidates, updating applicant statuses, following up with applicants on paperwork, assigning disposition reasons, launching offer letters and following up on outstanding candidate items.
  • Manage full onboarding process with operational personnel including assignment of onboarding paperwork, confirming completion status, informing support departments of new hires (Safety, IT, etc.), and ensuring a fast and efficient process to clear new hires to start in the time period as required by Operations.
  • Lead, support and standardize onboarding/offboarding activities including internal workflows, document collection and corporate training to ensure successful company induction/departure of employees.
  • Process, verify and maintain personnel related documentation, including certifications and training, according to legal regulations and company policy.
  • Liaise with internal counterparts to learn about opportunities and ways to adopt existing technology to Applus Canada's needs including a fully electronic onboarding and offboarding process.
  • Manage full offboarding process including documentation, system notifications, and department notifications; ensure all company equipment is collected in a timely manner and all final paperwork is issued in the required time period.
  • Provide weekly or in some cases daily status reports to Operations on personnel status including onboard status.
  • Support the regions as a subject matter expert in internal systems.
  • Create education and information tools that can be utilized for training of new staff.
  • Deliver training and provide continuous support to Applus personnel.
  • Work closely with Applus Global IT and local IT management to ensure Applus technical standards and best practices are met.
  • Work closely with a range of key stakeholders (staff, management, external providers) to define, interpret and implement system enhancements to meet business needs.
  • Provide technical and analytical guidance to project teams and Applus personnel.
  • Provide management with project status updates, feedback, and appropriate reporting on key responsibilities and objectives.
  • Enter, verify and track employee background information.
  • Ensure personnel records and statistics are maintained and updated in accordance with corporate governance.
  • Maintain the Applus App system and provide ongoing operational support.
  • Ensure company standards and requirements are met through conducting regular audits.
  • Adheres to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
  • Other duties may be assigned as deemed necessary.

  • Education and Work Experience:
  • College Diploma in Human Resources or related field.
  • 3-5 years' experience in Human Resources.
  • Experience in a unionized/labour relations field and in the oil and gas field is an asset.
  • Experience with data management and business operation systems (workflow management).
  • iCIMS experience for Recruitment and Onboarding preferred.
  • Software development skills within and enterprise environment is an asset.
  • Equivalent industry experience combined with other formal training and accreditations may be accepted.
  • Working Conditions:
  • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.
  • The work is primarily sedentary.
  • The noise level in the work environment is usually quiet to moderate.
  • Work outside of normal business hours will be occasionally required.
  • Overtime required during the week and weekend with work volume.
  • Ability to be flexible with work schedules and respond to requests without advance warning or notification.
  • Occasional to frequent travel will be required within Canada.
