Job Summary

The marketing group within the Athletics Department at UBC helps to promote the University's 26 varsity sports teams with the goal of building school pride and driving game attendance. We have several large-scale events that we promote and support during the school year along with a steady schedule of games that take place each week during the fall and spring. The Sports Marketing & Promotions Coordinator role helps to support the Athletics marketing team and provides experience with marketing activities, event coordination, community engagement, and corporate activations.

This position requires the ability to periodically work non-standard hours including evenings and weekends (e.g. attending and supporting at identified home games and strategic department events).

Organizational Status

Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience. The A&R Department has a team of approximately 125 employees, and is led by a strong cross-unit management team. It services over 60,000 students through recreational programming, 26 varsity teams, and 13 competitive clubs along with thousands of members of the UBC community.

The Coordinator, Sports Marketing and Promotions reports to the Manager, Sports Marketing and Promotions. Works closely with coaches/varsity staff and with other department facility managers/coordinators, staff and other campus stakeholders.

Work Performed


Coordinates the production and implementation of marketing and communications initiatives for social media, digital, web, print and out-of-home channels as well as on-site activations.

Develops promotional and marketing videos assets for event promotion and engagement.

In conjunction with the Manager, manages the work assignments for the department's graphic designer.

Contributes to the development of marketing reports, including research, conducting surveys and market analysis.

Creates and manages asset submission schedules for elements such as radio, print, web and social media.

Supports the management of the marketing unit's library of photography and video assets.


Coordinates in-game activations and supports pre-and-post-game initiatives (e.g. ticket sales promotions, contesting, etc.)

Liaises with and secures third-party performers including anthem singers, promotional break entertainment, the UBC Thunderbird Marching Band and the UBC Cheer Team.

Supports the Marketing team to ensure the delivery of all partner/sponsor assets.

Contributes to the development of community programs and partner elements (e.g. outreach to teams and community groups, and managing the development of related collateral, signage, giveaways, etc.)


Responsible for the recruitment, hiring, training, management and evaluation of a small group of student staff.

Responsible for onboarding student staff and oversees their payroll submissions.

Ability to plan, develop, and monitor work schedules to ensure efficient use of personnel.

Mentors student staff and enhances professional development opportunities.


Assists the Manager with financial management of the unit including preparing and monitoring small amount of budgets for marketing and promotionevents.

Attends meetings, staff training retreats and completes other tasks and duties as necessary.

Consequence of Error/Judgement

This position represents the Department of Athletics, the students and the University. Incorrect decisions / judgment will directly affect the Department and UBC's reputation within the community at large. Incorrect decisions would have impact on the operations of programs and reputation of the UBC Thunderbirds, UBC Athletics and Recreation and the University. The Coordinator, Sports Marketing and Promotions is expected to exercise judgment, diplomacy and tact in all interactions. Standards of customer service are essential.

Supervision Received

The Manager, Sports Marketing and Promotions provides guidance and direction to the position, but the execution and decision making of the responsibilities are solely that of the Coordinator, Sports Marketing and Promotions. Due to the magnitude of the program, staff are empowered to execute their responsibilities and work independently.

Supervision Given

Responsible for recruiting, interviewing, selecting, training, supervising, and evaluating the marketing student staff.

Minimum Qualifications

Diploma in Marketing. Minimum of one year of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Strong leadership, organizational, planning and time management skills are required. Demonstrated self-starter.

Proven communication and writing skills.

Demonstrated accuracy and strong attention to detail.

Ability to exercise judgement, tact, confidentiality and discretion when dealing with sensitive matters.

Ability to take initiative, analyze problems, identify key information and issues, and effectively resolve.

Demonstrated ability to prioritize work, multi-task and work under pressure to meet deadlines in a fast-paced environment.

Ability to train and oversee a small staff of student employees.

Exceptional interpersonal and relationship management skills.

Ability to work effectively independently and in a team environment, and to bring energy, motivation and enthusiasm to the job.

Ability to problem solve and manage conflict effectively.

Proficiency with Microsoft Office (Word, Excel, and Powerpoint) is required.

Experience and proficiency with Adobe Creative Suite (InDesign, Illustrator, and Photoshop) is an asset.

Knowledge of and a passion for sports is an asset.

Familiarity with the Wordpress content management system (or other similar products) is an asset.
