Assistant, Marketing and Business Development

The Role:

This role is a key part of the firm's Marketing and Business Development Department, providing administrative support to the Chief Marketing Officer and supporting our firm wide marketing and BD initiatives.

Essential Functions:

  • Support of CMO's calendar, email and other administrative tasks including expense management, filing, travel and meeting bookings, email screening and organization
  • Assist with budget management and annual forecasting
  • Provide administrative support in the management of the firm's sports and entertainment suite tickets and other client entertainment initiatives
  • As a member of the firm's Intranet Content Management Team, assist with processing and coordinating update to the Intranet
  • Manage sponsorship activation, including processing payment, confirming attendees and coordinating with marketing and design team on profile, advertising and all aspects of brand activation
  • Maintain sponsorship tracking spreadsheet for the Toronto office - tracking and reconciling all sponsorship expenses and activities on a monthly basis
  • Manage deadlines and process payments for advertising, publishing and other branding and marketing initiatives
  • Manage breakfast/lunch/dinner/gala table purchases, including processing payment, confirming attendees and sending out calendar invitations and reminders, and tracking activities in CRM (Interaction)
  • Assist with scheduling and coordinating of client satisfaction interview meetings
  • Assist with scheduling and coordination of marketing and BD-led meetings or presentations in Toronto with departments, practice groups, industry teams or key client teams
  • Manage requests for branded merchandise orders and all local inventory
  • Schedule and facilitate photo shoots
  • Other projects and duties as assigned


  • Five years or more of relevant experience preferably in a corporate environment
  • Post-secondary studies in business, marketing, communications or public relations is an asset
  • Self-starter with excellent attention to detail and multi-tasking skills
  • Excellent organizational and time management skills
  • Superior technical knowledge of Microsoft Office and an overall tech savvy nature
  • Exhibits a strong work ethic with the ability to maintain confidentiality and discretion
  • Displays professionalism and has highly developed interpersonal skills with a ?can-do? attitude
  • Ability to communicate effectively and in a timely manner with clients, vendors and other members of the team
  • Flexible and able to work in a fast-paced environment while juggling conflicting priorities
  • This role may require occasional early morning and/or evening coverage
