Event Coordinator

CAD MicroSolutions is looking for an Event Coordinator with a passion for executing memorable events. We are looking for an ambitious and motivated marketing professional to join our growing team. The Event Coordinator reports to the Director of Marketing and is responsible for coordinating and executing live and virtual events for CAD MicroSolutions, in addition to other marketing tasks to support the team. Typical events include trade shows, conferences, seminars, webinars, lunch & learns, customer appreciation events, staff events, and more.

This position is a permanent full-time position from 9:00am - 5:00pm Monday to Friday, with occasional evenings/weekend availability required. The successful candidate will be extremely organized and able to manage the logistics of multiple events simultaneously.

Duties of the Event Coordinator include:

  • Plan and organize events in accordance with budget, time restraints, and target goals as set by Director of Marketing
  • Oversee the online calendar to communicate events internally and externally
  • Coordinate with the Marketing Team to develop collateral materials, email campaigns, advertisements, blogs, recap videos, and follow-ups for events
  • Coordinate with suppliers and stakeholders during event planning process and post-event
  • Understand the complex needs of different events and diverse clientele
  • Coordinate and manage events on the day of, including welcoming guests, set-up, communicating with team members and vendors, problem-solving and managing take-down
  • Host virtual events such as webinars or lunch & learns, welcoming attendees and moderating panel discussions or Q&A as needed
  • Source materials as necessary for events, meetings, trade shows. Prepare nametags, materials, notebooks, packages, registration lists, etc. as necessary
  • Assist in analyzing and evaluating event results; create and present post-event reports to Director of Marketing
  • Propose new ideas to improve the event planning and execution process
  • Assist the Director of Marketing and team members with additional day-to-day marketing tasks and activities as required

  • Excellent interpersonal and communication skills, including ability to build and maintain relationships with a diverse network of individuals and organizations
  • Strong organizational skills including attention to detail and ability to multi-task
  • Time management skills and ability to prioritize a large volume of tasks
  • Self-motivated and enthusiastic with a willingness to learn
  • Great customer service skills
  • Excellent English communication skills, both verbal and written
  • French knowledge (verbal and written) considered a strong asset
  • Video editing ability considered a strong asset
  • Must be available for occasional weekends/evenings as required (occasional trade show set-up, after-hours events, etc.)
  • Driver's license required. Access to own vehicle required.
  • Post-secondary degree in event management, marketing, or related field, or relevant experience required
