Reporting to the Executive Director, COntract Management Office (CMO), the Analyst/Administrative Assistant, provides analytical support to the CMO team for purposes such as data analysis, statistical reporting, benchmarking activities, developing and generating queries, preparing and compiling reports and technical documents utilizing various software and tools. As well, the Analyst/Administrative Assistant provides confidential administrative and secretarial assistance and research support to the Executive Director, CMO and to the CMO team. Maintains the Executive Director's and management team's appointment calendars, coordinates meetings, processes and prioritizes information, screens, triages and acts upon requests and inquiries, including confidential and sensitive information. Works independently and interfaces with other Executive Directors, Managers and staff at all levels of the organization. Effectively partners with other VCH departments such as the Decision Support team and liaises on behalf of the department with external agencies to coordinate the flow of information, keeping the Executive Director apprised of relevant issues and activities

As an Analyst/Administrative Assistant with Vancouver Coastal Health you will

  • Provide analytical support by compiling and manipulating analytical information/data, developing and generating queries, preparing and compiling reports and technical documents utilizing current software and tools to assist in trending, comparing and benchmarking activities.
  • Develop and continuously maintain electronic and manual databases and filing systems, listings and records. Maintain various databases specific to and/or related to the CMO team.
  • Provide administrative support that respects confidentiality and ensures that administrative matters are organized and dealt with in a professional manner.
  • Facilitates effective triaging of correspondence, determination of appropriate action, and timely follow up as appropriate.
  • Coordinates meetings ensuring well-defined and timely agendas, identification of and notification to interested parties, compilation of background information and supporting materials, and preparation of packages/summary documents to assist in decision making and meeting facilitation.
  • Maintains a consistently updated and accurate appointment schedule for the senior leader, and others as required, including determination of urgency and nature of requests, resolution of time conflicts, and notification to all relevant parties.
  • Produces well-designed and accurate reports, correspondence, presentation materials, spreadsheets, and memos. Maintains and updates various computer databases and web pages.
  • Represents interests of applicable senior leader/department in administrative matters utilizing strong communication and persuasion abilities and an understanding of stakeholder needs
  • Ensures appropriate dissemination of information about organizational and/or program/service procedures and processes and the status of issues to internal and external stakeholders.
  • Assists in budget development ensuring information is current and accurately compiled, monitors expenditures, ensures invoices are authorized to predetermined amounts, and analyzes and reports variances for multiple departments/programs.
  • Maintains/processes timekeeping records, vacation entitlements, etc. and responds to related queries.
  • Provides consistently functioning administrative tools, systems and services in a systematic and organized manner, and maintains readily available stationery and supplies.
  • Provides direction and guidance to clerical support staff as needed to ensure administrative needs of the area are met.
  • Performs other related duties as assigned.

QUALIFICATIONS

Education & Experience

  • Diploma in a related program
  • Three to four (3-4) years' recent, related experience in a complex health care environment with progressively more responsible secretarial and administrative positions supporting senior level management, experience in information analysis and benchmarking, or an equivalent combination of education, training and experience.
  • Advanced computer skills in spreadsheet, database, graphics and word processing programs is required, e.g. Microsoft Excel, Access, PowerPoint, Word, and Visio.

Knowledge & Abilities

  • Employs expertise in the use of desktop computer applications to create a variety of documents, reports and presentations, and to maintain databases.
  • Applies acquired skills and knowledge to efficiently and independently resolve administrative issues/problems.
  • Effectively utilizes both verbal and written communication skills when providing advice or information or seeking/acquiring information.
  • Optimizes departmental effectiveness and contributes to organizational success by applying excellent time management skills to prioritize and complete assignments and schedule activities.
  • Practices diligence and care when maintaining, monitoring, calculating and summarizing data, records and budget information.

As per the current Public Health Orders (Long Term Care/Seniors Assisted Living Provincial Health Officer Order and the Health Sector Order), as of October 26, 2021, all employees working for Vancouver Coastal Health must be fully vaccinated for COVID-19.
