Position Overview

The Office of Indigenous Engagement within Provost & VP Academic is currently seeking a Recurring Part-time Project Assistant, Events & Communications.

The Project Assistant, Events and Communications reports to the Director, Indigenous Strategy, with oversight by the Program Coordinator for Special Events and Communications. This position is part of the Office of Indigenous Engagement and will work under the day-to-day supervision of the Program Coordinator of Special Events and Communications. The incumbent will assist with and contribute to the development of communication plans, marketing materials and event planning for special events and communication materials hosted by and developed for the Office of Indigenous Engagement activities.

Under the supervision of the Director and with guidance from the Program Coordinator for Special Events and Communications, the incumbent will be responsible for assisting with the coordination and execution of Special events an as well as the development of marketing and communications material and special projects associated with the Office of Indigenous Engagement.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Provide support updating the Office of Indigenous Engagement website. Project includes updating text on the following web pages: UCalgary Lectures, Anti-Indigenous Racism, Elders Teaching Series, and the Indigenous Knowledge Public Lecture Series.
  • Provide support in the creation and development of the Drupal web pages including the Smudging Request page and the tipi request page.
  • Update and complete the Indigenous Engagement Communications Manual.
  • Create a 6-7 slide PowerPoint presentation on the Indigenous Engagement Communications Manual (presented to internal partners).
  • Update the University of Calgary Indigenous Strategy Communications Toolkit.
  • Update the Speaker Series Event Planning Process manual for 2022.
  • Generate post-event reports for Office of Indigenous Engagement events.
  • With guidance from the Program Coordinator for Special Events and Communications, create various event documents that support the organization and marketing of Office of Indigenous Engagement events.
  • Create a document that contains all available event spaces within the University of Calgary, for future Office of Indigenous Engagement events, meetings, workshops, and gatherings. This document should include all applicable locations, room costs, contact information, capacity numbers, etc.
  • General admin support: attend Office of Indigenous Engagement team meetings, coordinate event planning meetings (includes agendas, meeting notes, meeting venues, etc.)
  • Other duties as assigned by the Program Coordinator for Special Events and Communications on event planning and marketing.

Qualifications / Requirements

  • Completed or working towards a diploma or degree in related field
  • Minimum of two years of experience in special event planning or communications
  • A combination of education and experience will be considered
  • Demonstrated excellent oral and written communications skills
  • Experience designing and/or updating websites
  • Proficient in skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Internet Skills, MS Teams, Zoom, and programs for organizing information
  • Excellent inter-personal communication and collaboration skills
  • Excellent organizational and time management skills
  • Demonstrated ability to maintain confidentiality
  • Knowledge or experience working with regional Indigenous communities, cultural protocols, programs, or organizations
  • Fundamental understanding of Indigenous people's history, culture, and languages
  • Ability to pay attention to detail and accurately perform work
