The Administrative Assistant, Energy Marketing and Commercial Development provides senior administrative support to the Vice President and Directors, their departments, and relief support to other departments within ENMAX Energy. This position will be responsible for the coordination and delivery of all administrative activities associated with the Vice President's office. The individual will coordinate with other administrative resources across ENMAX Energy and requires a high level of confidentiality and professionalism.

Major Responsibilities :

Coordinate day-to-day activities of the VP and Directors; oversee logistics for meetings including conducting background research required and making necessary travel arrangements

Proactively manage calendars for VP and Directors; coordinate and prioritize meeting requests, prepare agendas and meeting minutes, track actions and deliverables

Manage VP e-mails; screen for priority and filter appropriately, prepare and coordinate correspondences with internal and external stakeholders, communicate response or direction on behalf of the VP

Assist with prioritization of work schedules and communicate directives on behalf of the VP, Directors, and their Leadership Teams. Provide follow-up to ensure service commitments and deadlines are met

Create high-quality internal and external communications and presentations. Edit and format to a high professional standard

Plan and organize department meetings, and employee and customer events

Perform financial and budget reporting and variance analysis, such as Capital, Operating, Headcount

Assist with the preparation and management of the department budgets and dashboards

Prepare monthly corporate credit card reconciliations and expense reports for the department's senior leadership

Co-ordinate memberships, conference registrations, and travel arrangements for the department

Manage the purchase order and payment process, including review and tracking of all current and incoming contracts

Planning of internal and/or external meetings; prepare agendas, presentations, meeting minutes, arrange for catering, room set up and manage AV equipment requirements

Provide troubleshooting of computer problems. Provide coaching/training to others on department processes and systems

Education Required:

High School Diploma and a certificate or diploma in Business Administration or a related field

Qualifications & Experience :

Minimum 10 years' administrative experience supporting at an executive or senior management level.

Advanced level of proficiency in Microsoft Office Suite with the skillset to create high level presentations.

Ability to proactively organize and prioritize correspondence as well as calendar management.

Salary: Administrative Assistant, Level E (Current CUPE 2023 rates)

$74,134.61 - $78,756.86 - $83,398.95 - $88,021.21 - $92,663.30

Location: This role will be part of our hybrid (home and office) work force with office workspace located at ENMAX Place (141 - 50th Avenue SE, Calgary, AB). You will work from home on Mondays and Fridays and in the office on Tuesdays, Wednesdays, and Thursdays.
