Job Title: Human Resources Coordinator
1 Year Contract
Essential Function
Provides consultation and guidance on human resources issues to Canadian Store Associates and Field Leaders. Coordination and administrative support to HRBPs and Director HR Business Partnering. Liaison with support center payroll, legal and HR departments on daily business needs such as recruitment process, research, preparing reports, ensuring company is complying with Canadian regulations, handling information requests and performing other clerical duties as required by the business.
Primary Duties
25% NEW HIRE PAPERWORK:
Drive, responsible and maintain full Canadian new hire process and partners with all support teams for seamless onboarding of all new hires. Responding to all new hire questions. Liaising with new hires, district managers and other hiring managers as needed. Coach store leaders and DMs on new hire process and paperwork. Partner with the Talent & Acquisition team to ensure the Canadian recruiting process runs smoothly. Identy gaps and areas where we can work to improve.
Responsible for reviewing all Canadian offer letters in the HUB that are prepared and submitted by field Hiring Managers before they are extending to potential candidates.
Drive and responsible for running accurate background checks in Canada.
25% Work closely with field leaders to identify Human Resources issues and concerns. Assists/handles various employee HR related queries / issues, such as investigating employee concerns/complaints, resolving employee issues related to pay, benefits and advising appropriate action. Provide advice and guidance to the store team and full-service team in all areas of Human Resources. Handles questions from employees, DMs and Field Leaders on company policies, procedures and guidelines. Identify and address business needs and areas of improvement to the HRBP and HR Director.
15% ADMINISTRATIVE SUPPORT:
Prepares and handles requests for offer letters, job abandonment letters, termination letters (upon request), employment letters (upon request).
Handle & complete Statistic Canada's monthly payroll and wage survey.
15% PROJECTS:
Complete projects as assigned by the immediate manager. Like updating teams about changes in provincial employment standards, updating the calendar of Canada statutory holidays each year, updating HR forms, HR related research, running and maintaining various reports and statistical information. Provide all support, updates and assistance to HRBPs, Legal, Benefits, Payroll and Operations team on everything Canada related.
12% CANADIAN HR REPRESENTATIVE AND CORRESPONDENCE
Act as the initial contact for Service Canada, handling all verifications questions, collecting and providing all requested information. Partner with Benefits to assist with return to work, document verification and accommodation coordination. Responding to legal requests, collecting and providing employee information as required.
Primary contact as the Canadian representative for ongoing accurate background checks in Canada. Verify and complete all CPIC forms as Canadian employer correspondence.
Primary contact for employment verification.
3% NEW HIRE PAPERWORK:
Audit to ensure that all new hire documents received are complete and correctly signed. Update new hire kits and forms in compliance with provincial regulations, new launches and company policies.
3% MAIL: Open and process incoming mail.
Knowledge, Skills and Abilities
- High School diploma
- College or university diploma in HR is an asset
- 2-3 years Human Resources experience within generalist roles preferred.
Strong proficiency in Word, Excel, Power Point, Outlook, and MS Office Suite experience, including HRIS systems

Working Conditions /Physical Requirements
The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, retail stores, and residences or commercial vehicles, e.g., use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. The work area is adequately lighted, heated, and ventilated.
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, files, books, small parts; using a copier/scanner, using a keyboard, driving an automobile, etc. No special physical demands are required to perform the work.
