Job Description

TED is looking for a contract Event Operations Coordinator to join the Event Operations team. This is an opportunity to support the execution of world-class conference events. You will have working knowledge and experience of the events industry, a flair for project management and strategic thinking, a curiosity for innovation and a passion for excellence.

This is a part time, remote role at $28-$32/hr.

Qualifications

QUALIFICATIONS/ SKILLS

  • A degree or diploma in event management, hospitality, project management, or a related field, or equivalent experience. Minimum of 5 years of direct event experience preferred.
  • Proven experience in contract negotiation and vendor management.
  • Demonstrated ability to use networks and experience in supplier relations to efficiently deliver, execute, and fulfill supplier and vendor contracts.
  • Excellent interpersonal skills, including effective verbal and written communication.
  • Strong analytical, strategic planning, and creative problem-solving skills, with a focus on solutions.
  • Ability to manage tight deadlines and juggle multiple projects simultaneously.
  • Superior organizational skills with a motivated and enthusiastic approach to work.
  • Proficiency in Microsoft Office, Google Docs, and Airtable is required.

RESPONSIBILITIES

  • Assist the Event Operations team with various tasks, including but not limited to:
  • Database updates and maintenance.
  • Conducting vendor and venue research.
  • Managing quote requests.
  • Creating and maintaining vendor orders and contracts.
  • Managing invoice submissions and reconciliations.
  • Provide regular updates and report on project progress during weekly production meetings.
  • Collaborate with both internal and external stakeholders to coordinate operational requirements.
  • Ensure that projects are executed efficiently and delivered on schedule.
  • Comply with all branding and identity guidelines to maintain consistency across events.
